Administrative Coordinator

The Administrative Coordinator will work with all administrative staff to oversee and monitor all aspects of coordinating patient care and maintaining minimum licensing standards and company standards within the Center. This position will also act as an Early Childhood Developmental Specialist (ECDS) for the Center.

Summary of essential job function

  • Adhere to all policies and procedures outlined in the Arkids Pediatric Day Centers’ Employee Handbook, Management Policies and Procedures and Medical Policies and Procedures Manuals
  • Familiar with requirements set forth by regulatory agencies including but not limited to Division of Provider Services & Quality Assurance (DPSQA), Arkansas Minimum Licensing, Arkansas Department of Health, EQHealth (or current gatekeeper to Medicaid), etc.
  • Represents the program to parents/guardians, visitors, colleagues, and the public in a positive attitude and approach
  • Maintains familiarity with health and safety guidelines, including standard precautions and daily operating procedures, immediately reporting any information regarding health & safety concerns to the Center Nurse, Center Director, or designee
  • Displays concerns for the rights of patients and families served by the Center
  • Attend and actively participates in job-related functions
  • Maintains confidentiality of patients, and staff
  • Assist with ensuring the approved developmental assessment is administered timely and appropriately to all potential patients and enrolled patients, including uploading all required documentation into Aspyre. Developmental assessments are due annually.
  • Assist with developing an Individualized Treatment Plan (ITP) for each EIDT patient within 1 week of enrolment and a minimum of annually thereafter
  • Assist with scheduling and coordinating ITP meetings at a minimum of annually
  • Assist with updating treatment plans, goals and objectives and distribution to classroom staff as appropriate
  • Assist with ensuing Tally Sheets are being completed as scheduled and checked for accuracy on Monday for the previous week, but a minimum of monthly
  • Will cross-train to fill in for the Administrative Assistant
  • May assist with day-to-day staffing needs and ensure appropriate supervision, and adult-to-child ratios are maintained at all times
  • Assume the role of direct service provider when necessary and ensure continual supervision of children assigned to his/her care while promoting a safe, health environment and positive emotional climate for the classroom
  • May assist with organization of all classroom supplies
  • Assist with developing and monitoring a list of classroom supplies, submitting a monthly supply request for the Center Director by the 3rd week of the month, including item numbers, if applicable
  • Attend and actively participates in weekly Administrative Meetings with agenda items/updates submitted to the Center Director the day before the scheduled meeting
  • May assist with managing the thinning of all active patient charts, as needed
  • May assist with creating hard charts on each patient within 1 week of enrollment
  • May assist with completing Chart Reviews on all patients after 2 weeks of enrollment and every 90 days thereafter, including 10% in discharged patients
  • May assist with issuing deficiency sheets, as needed, and ensure all corrections are completed by the responsible individual within 72 hours, as indicated by their signature
  • May assist with completing the intake packet with the parents/guardians of newly enrolling patients, along with review of the Parent/Guardian Handbook
  • Assist with monitoring the daily attendance and follow-up on absences as needed
  • Assist with home visits (with other staff as needed for various problems such as patient absences, assessment for environmental risk, to obtain required documentation, signatures, well-child checks, etc. 
  • Assist with maintaining office & cleaning supply inventory and submitting requests for needed items for the Center Director by the 3rd week of the month for approval
  • Assist with checking off items delivered and restock all delivered supplies
  • Assist with reviewing classroom billing daily to ensure accuracy and completion, with hard closeout deadlines for corrections and final submissions of Wednesday at 11:00am (for F/M/T) and Friday at 11:00am (for W/Th), signing & dating classroom rosters upon review
  • Assist with completing a monthly newsletter for staff and parents/guardians and send it out the last week of the month for the new month
  • Assist with completing Classroom Observations on each classroom monthly
  • Assist with weekly Center Inspections
  • Assist with reviewing Daily Classroom Checklists for each classroom weekly
  • Assist with covering breaks (ex. classroom staff, AA)
  • Assist with loading/unloading the vans
  • May perform light housekeeping duties
  • May act as the Center’s opener and/or closer as needed
  • Other duties as assigned

Minimum requirements

  • BSE in Early Childhood Education or related field with emphasis on Early Childhood plus a minimum of 6 months of experience working with young children in a group-care setting & documentation of 12 hours of coursework in early Childhood, Child Development, Special Education, Elementary Education, Child and Family Studies, or has completed state accreditation in Early Childhood Special Education
  • 5 years of experience in Early Childhood Education or related field preferred
  • Clear Criminal Record Check, Arkansas Child & Adult Maltreatment Regulatory Checks, FBI Regulatory Check, including National Sex Offender Registry
  • May be asked to complete New Director Orientation
  • Pass a drug screen (upon hire, annually, and/or randomly)
  • Travel as needed
  • Valid Arkansas Driver’s License, including a P endorsement if needed
  • Clear Driving Record
